Your documents. Your control.
“We can't lose what we don't keep.” Drop Zone is built around zero-retention processing: we delete your uploaded medical documents after building your claim packet, and we store only the minimal claim-tracking information you choose to keep.
Privacy at a glance
Drop Zone turns your invoices and receipts into a submission-ready TRICARE Overseas claim packet. To do that we read your documents, assemble the packet, hand it back to you, and then discard the source material. We are an independent preparation tool — not an insurer, claims processor, or government service.
Zero Retention Mode (default)
Zero Retention Mode is on by default for everyone:
Uploaded documents are temporary.
Source files are deleted immediately after your packet is generated.
Extracted (OCR) text is never stored.
AI prompts and responses containing document contents are never stored.
Generated packets are not retained after you download them.
If any optional retention feature is ever added, it will be strictly opt-in — off unless you explicitly turn it on.
What we store
Only the minimal claim-tracking record you choose to keep:
An internal Drop Zone reference number
Claim status
Date generated, and (if you enter them) dates submitted and paid
Reimbursement amount, optional TRICARE claim number, and an optional note
Archived status
What we do not store or do
We do not retain your uploaded medical documents by default.
We do not store OCR text, diagnoses, receipts, provider notes, or full document text.
We do not sell medical information.
We do not use medical documents for advertising.
We do not use your claim documents to train AI models.
Document deletion
Source files are deleted automatically once your packet is built. Any temporary generated packet is removed after download or after a short expiration window. To parse your documents, Drop Zone sends them to a third-party AI provider (Anthropic); under their standard API policy, inputs and outputs may be retained by Anthropic for a limited period (up to 30 days) for safety, and are not used to train their models. That processing step is outside Drop Zone's storage.
Encryption and HTTPS
All traffic to and from Drop Zone is encrypted in transit over HTTPS. Processing happens server-side and temporary storage is private.
Anonymous community metrics
Community impact numbers are aggregated from anonymous claim-tracking data that members voluntarily choose to share. They never include your user ID, email, name, claim number, file names, documents, OCR text, or any medical details. Sharing is optional:
“Share anonymous claim statistics to help show community impact. No documents, medical information, claim numbers, file names, or personal identifiers are ever shared.”
Your responsibility
Drop Zone organizes and prepares packets from the information and documents you provide. You are responsible for reviewing every generated document before signing and submitting it. Inaccurate, incomplete, or outdated information you provide may affect the packet. Reimbursement decisions are made solely by your insurance or benefits administrator.
Independent service disclaimer
Drop Zone is an independent document preparation service and is not affiliated with, endorsed by, or connected to TRICARE, International SOS, the Defense Health Agency, or the U.S. Department of Defense. We do not guarantee reimbursement or approval and we are not an official TRICARE partner or claims processor.
Data deletion requests
Because Drop Zone doesn't retain your documents, there is nothing to request deletion of for a completed packet. For your saved claim-tracking records, you can archive or delete them from your account, or contact us to remove your account and its tracking data.
